How much does the reunion cost?
With A Touch of Class Reunions financing the reunion on your behalf,
there are no up front costs to you or your Committee other than the price
of admission. The ticket price is determined by adding the cost of the
selected venue, menu choices, options and operating expenses together
and then dividing that by the anticipated attendance. Anticipated
attendance is determined by following an industry standard formula
which accounts for things such as the size of your class, the celebration
year (10th, 20th, etc.) and budget restrictions set in place by you and
your Committee.
Remember, cost is a very important factor when determining your per-
person ticket price. A price that is too low will not afford you an event
that people will want to attend and a price that is too high will prevent
others from being able to attend. It is important to be realistic when it
comes to planning an event that everyone will enjoy and be able to afford.
You have to remember that not everyone is as excited as you and your
Committee are about attending this event. Some dread the mere thought
of it and welcome any excuse to return a response that indicates they will
not be attending. In most cases it’s not that they can’t afford the ticket
price they simply don’t think this type of event should be that pricey. If
a reunion is perceived as too expensive, too formal or too stuffy people
will stay away. Plan your reunion by staging events that will appeal to a
wide variety of people. The purpose of a reunion is to bring people
together NOT to keep them apart! The more alumni that attend the
reunion the better the event!
Several options are available to keep prices to a minimum including
hosting the event on a Friday evening as opposed to a Saturday.
Saturdays are typically reserved for weddings and carry a hefty price tag
whereas Fridays are generally more flexible and readily available. If you
plan on having other events besides the “main event”, Fridays work out
better in the long run because it’s no fun to reunite before the reunion!
Hosting your event on Friday evening allows everyone to reconnect (the
purpose of a “reunion”) and then follow that up with a Saturday family
bar-b-que, outing or other event.
Carefully choosing your menu and bar options is another way of keeping
your reunion affordable. Selecting a buffet style dinner often provides for
a greater variety of menu items and a lot more food than a typical sit
down dinner. More importantly electing a cash-bar as opposed to an
open-bar is a BIG money saver. An open-bar can account for as much as
40% of the entire ticket price! Understand that our experience is that
more than half of your alumni either don’t drink or don’t drink that much
where it would warrant paying an additional $5 to $10 per hour to justify
an open-bar. Some will even be upset by the fact that they are paying so
that others can drink to their hearts content!
Another benefit of offering a cash-bar is that it will help to control the
amount of alcohol consumed and therefore make for more responsible
drinking.
Rest assured that the greatest reunions didn’t necessarily occur at the
trendiest, priciest places in town. That’s where our expertise really
